Inviting Team Members

Why Invite Team Members?

Plotstuff is built for collaboration. By inviting team members, you enable your colleagues to access shared projects, place assets, manage workflows, and export reports — all from a single shared workspace.

Team members are invited at the team level, which means they gain access to all projects owned by that team. This saves you from having to invite people individually to each project and ensures consistent access control across your portfolio.

How to Invite a Team Member

  1. 1

Navigate to your Team Settings page from the main navigation.

  2. 2

Click Invite Member in the team members section.

  3. 3

Enter the email address of the person you want to invite.

  4. 4

Select a role for the new member — Admin, Editor, or Viewer.

  5. 5

Click Send Invitation. The invitee will receive an email with a link to join your team.

ℹ️

If the person you invite does not have a Plotstuff account yet, they will be prompted to create one when they click the invitation link. Their new account will be automatically linked to your team.

Managing Team Members

After inviting team members, you can manage their roles from the Team Settings page. Admins can change a member's role at any time or remove them from the team entirely. Changing a role takes effect immediately — if you downgrade someone from Editor to Viewer, they will instantly lose the ability to make changes.

For a detailed breakdown of what each role can do, see the Team Roles & Permissions article.

💡

Keep your team lean. Assign the **Viewer** role to stakeholders who only need to review progress, and reserve **Editor** and **Admin** roles for people who actively manage assets and projects.
