Setting Up Approval Workflows
What Are Approval Workflows?
Approval workflows are structured review processes that let you share your asset plans with stakeholders and collect their formal sign-off. Instead of emailing PDFs back and forth, you create a live approval flow that gives reviewers an interactive view of your floorplans and assets.
Reviewers can navigate between floors, inspect individual assets, view associated artwork, and provide their approval — all without needing a Plotstuff account. This streamlines the review cycle and creates an auditable record of who approved what and when.

Creating an Approval Flow

Open a floorplan in your project and click the Flows button in the top toolbar.

In the Project Flows panel, click + Create New Flow.

Select Approval as the flow type.

Enter a descriptive name (e.g. "Client Approval — Round 1", "Architect Review").

Configure display settings: choose whether to show SVG artwork, asset photos, and which fields reviewers can see.

Optionally check Exclude empty floorplans to hide floors with no assets.

Click Create Flow to generate the approval flow and its unique shareable link.
Sharing with Reviewers
Each approval flow generates a unique URL that you can share with anyone. Click the link icon on the flow card to copy it to your clipboard, then send it via email, chat, or any other channel.
When reviewers open the link, they see a clean, focused view of your project. They can navigate between floorplans, click on individual assets to see details, and submit their approval status. No login or account is required — the link provides direct access to the review interface.
Create separate approval flows for different stakeholder groups. For example, one flow for the client and another for the architect. This lets each group review independently and gives you a clear record of each party's sign-off.
Tracking Approval Status
From the Project Flows panel, you can monitor the progress of every active flow. Each flow card shows the number of participants, how many have responded, and the overall status. You will also receive email notifications when reviewers submit their responses.
Once all participants have reviewed, the flow status updates to reflect the outcome. You can then proceed to production or make revisions and create a new round of approvals if needed.
Approval flows are read-only for reviewers. They can view and comment but cannot modify asset positions, types, or any project data. Only team members with Editor or Admin roles can make changes.
